Effective communication occurs when both the sender and receiver grasp the message in clear and straightforward terms. In my practical approach, this is fundamental to successful interactions.

Every two weeks, I organize a meeting within one of our primary business sectors. Managers and above participate, and a crucial part of our agenda involves reviewing sales presentations from two distinct divisions.

We have two sales managers presenting: one is in his late 30s (let’s call him A), and the other is nearing 50 (we'll refer to him as B).

Manager A oversees accounts for approximately five major clients, generating monthly revenues between 10–20 billion, while Manager B manages a single key account with monthly revenues ranging from 2–5 billion.

Manager A's offerings are more intricate, as clients frequently request various modifications to both hardware and software. In contrast, Manager B's product remains mostly static, given that his client, a state-owned enterprise, is relatively inflexible regarding changes in specifications.

Interestingly, during our weekly meetings, the time allocated for their reports appears to be inverted.

Manager A, who handles multiple customers and has a more substantial sales volume paired with a complex reporting structure, averages only 15 minutes for his presentation. His slides are predominantly numerical data, lacking a narrative that could allow for varied interpretations. Even when he includes commentary, it tends to be concise, supported by robust quantitative information.

Conversely, Manager B, who manages a singular client with a more stable product, often takes at least 30 minutes, sometimes extending to an hour if not curtailed by the meeting leader. He tends to share lengthy narratives and struggles to present data numerically, potentially stemming from his background in social studies and extensive campus activism, where verbal expression is more common.

This can be quite frustrating, as Manager B frequently comes unprepared with data. His narrative-heavy reporting consumes significant meeting time without yielding actionable conclusions due to the absence of numerical support. It’s especially irritating when he tends to speak in circles, reminiscent of political discussions on television, ultimately leading to vague storytelling without clear qualitative metrics.

From a pragmatic business perspective, effective communication should convey information simply and directly, avoiding excessive narrative complexity and allowing for clear conclusions that both parties can comprehend equally. This mirrors the straightforward exchanges seen among characters in mafia films, where subtle cues and tone convey meaning without unnecessary elaboration.
